This Privacy Policy explains how Cladiant, LLC ("Cladiant," "we," "us") collects, uses, shares, and protects information when you visit cladiant.com, create an account, or use our cold-email infrastructure service (the "Service"). We provision and manage email mailboxes, domains, and DNS authentication across Google Workspace, Microsoft 365, and Azure Entra on your behalf. Data controller. Cladiant, LLC is the controller of the personal data described below. Full contact details are on our contact page.
This policy covers personal data for which Cladiant is the controller - our account holders, prospective customers, and website visitors. Personal data we process on behalf of customers to run their campaigns (including the recipients they choose to contact) is handled as a processor under our customer agreement and DPA, where the customer is the controller and responsible for that data.
Information we collect
- Account & contact data - your name, email address, company, and the credentials you use to sign in.
- Billing data - billing address and payment method, processed and stored by our third-party payment processor. We do not store full card numbers on our systems.
- Order & service data - the configuration of the orders you place (domains, mailbox counts, providers, sequencer integrations) and the credentials we provision for you. Provisioned credentials are encrypted at rest and can only be decrypted and viewed by authenticated users on your account.
- Technical & security data - standard information collected when you use the Service, such as IP address, device, browser and operating system, login timestamps, and pages viewed. To keep accounts secure and prevent spam, fraud, and abuse, we also record basic security signals when you sign in or submit a form. We use this only to operate and protect the Service, never to build advertising profiles.
- Communications - messages you send us over email, support tickets, Slack, or WhatsApp, and calls you book with us.
How we use information
- To provide and operate the Service - provisioning inboxes and domains, authenticating DNS, and handing mailboxes off to your sequencer.
- To bill you, prevent fraud and abuse, and secure our platform.
- To provide customer support and respond to your requests.
- To measure and improve our website and product, and to attribute sign-ups to marketing campaigns and referrals.
- To send you transactional email (order status, security, billing) and, where permitted, product updates you can opt out of.
Where the GDPR applies, we rely on the following legal bases: performance of our contract with you, our legitimate interests (security, fraud prevention, and improving our product and website), and compliance with legal obligations.
We use automated checks to detect spam, fraud, and abuse - for example, flagging suspicious sign-ups or lead submissions. These checks do not make legally significant decisions about you on their own, and you can contact us to review any action taken on your account.
Sharing & sub-processors
We share personal data with trusted service providers that process it on our behalf to run the Service. These fall into the following categories:
- Payment processing and billing
- Cloud hosting, database, and file storage
- Transactional email delivery
- Domain registration and mailbox provisioning infrastructure
- Product analytics and advertising measurement
- Scheduling and customer communication

We may also disclose information to comply with law, enforce our agreements, or protect the rights, safety, and property of Cladiant, our customers, or others; and in connection with a merger, acquisition, or sale of assets.
We do not sell your personal data for money, and we never use the contents of your provisioned mailboxes for advertising. We do use analytics and advertising tools that may share limited usage data to help us measure our marketing. Depending on where you live, some privacy laws may treat this sharing as a "sale" or "share"; you can opt out by adjusting your browser or device controls or by contacting us.
Cookies & analytics
We use essential cookies to keep you signed in across cladiant.com and app.cladiant.com. We use first-party attribution cookies to record how visitors arrive (campaign and referral), and analytics and advertising tools to understand product usage and measure marketing. You can control cookies through your browser; blocking non-essential cookies will not break the core Service.
Data retention
We keep personal data for as long as your account is active and as needed to provide the Service and meet our legal, accounting, and dispute-resolution obligations. You can ask us to delete your personal data at any time by emailing support@cladiant.com, and we will do so unless we are required to keep it.
Security
We take reasonable measures to protect your information, including encryption in transit. No method of transmission or storage is completely secure, but we work to keep your data safe.
International transfers
We and our sub-processors may process data in the United States and other countries. Where required, we use appropriate safeguards (such as Standard Contractual Clauses) for cross-border transfers.
Your rights
Depending on where you live, you may have the right to access, correct, delete, or port your personal data, and to object to or restrict certain processing. Exercise any of these by emailing support@cladiant.com; we may need to verify your identity before acting on a request, and we'll respond within 30 days. You also have the right to lodge a complaint with your local data-protection authority.
Children
Cladiant is a business service and is not intended for anyone under 18. We do not knowingly collect personal data from children.
Changes to this policy
We may update this policy from time to time. When we do, we'll revise the "Last updated" date above and, for material changes, provide additional notice.
